This is how to promote the DX of recruitment activities during the COVID-19 pandemic ~ Online Interview Preparation Edition ~

Hello. This is Motion Visual Japan Inc. How have you all been doing this February, with the period of preventing the spread of coronavirus and other factors? Many of you are probably tired of self-restraint and fed up, but we can only hope that it will be "just a little longer."

Now, continuing from last week, we will focus on the specific measures for recruitment activities, "DX," and this time, we will focus on the preparations for conducting online interviews.

In the previous blog post, we discussed the preparations for online company information sessions. There is one more very important point. That is the pathway to the interview. Whether the online company information session is recorded or live, the ultimate goal is to attract promising job seekers to the interview, right? While online information sessions are easy to participate in, the possibility of participants dropping out midway is high. Therefore, it is essential to design a pathway to the next step, such as an interview after the information session.

For example, you could conduct a web survey after watching the video, or design a page that guides users to the application form. Another measure is to have a system in place to set the next interview date and time immediately after the information session ends. This is especially important for recorded sessions, as many other companies are also targeting students and job seekers. The more proactive and capable the talent, the higher the possibility of losing them.

Interview Preparation

After implementing the measures mentioned above, the next step is to prepare for the interview. When conducting online interviews, the most crucial thing to avoid is communication trouble. While the possibility of unexpected communication problems cannot be zero, most of these troubles are due to insufficient preparation. It is important to check the following points.

① Check Communication Environment and PC Performance

First, please check the applicant's internet connection speed and PC specifications. The required specifications vary depending on the web interview/web conferencing tool used, so be sure to check the recommended environment for the system you will be using. The recommended browsers also differ. Be aware that problems often occur due to using an unsupported browser. Also, check your internet connection speed in advance and start the interview in a stable network environment.

② Check interview environment (location and lighting)

In addition to device and network issues, the interview environment is also important to prevent problems. First, choose a quiet place where your voice can be clearly heard by the other person. Be especially careful around microwave ovens, as radio waves tend to be unstable in those areas.

③ Pre-meeting with interviewers

If two or more interviewers will be participating, confirm roles and tasks during the interview in advance. In a normal interview, you might be able to confirm things in a low voice, but in a web interview, the applicant is constantly being watched. Be sure to confirm in advance materials to be displayed during the interview and how to fill out evaluation sheets. It is recommended to conduct a test call between interviewers using the same system as the actual interview.

④ Exchange contact information with the applicant

Even if the company makes thorough preparations, problems may occur on the applicant's side. Exchange contact information with the applicant so that you can respond quickly if a problem arises. A contact method that allows for immediate connection, such as a phone number, is ideal over an email address. If you provide contact information other than that of the interviewer, such as the HR department's contact, it will delay communication during a problem, so be sure to provide contact information that connects directly to the interviewer.

⑤ Conduct connection test

Conduct a test call before the interview begins. Please check the following points during the test call.

• Whether your camera is showing properly
• Whether sound is coming from the earphones
• Whether the microphone is picking up sound
• Whether there is any lag

If the test call was successful without any problems beforehand, it is highly likely that the cause of any problems during the actual interview lies with the applicant. However, things that worked fine the day before may not work on the day of the interview, so it is ideal to check each time before the interview begins.

How was it? This time, we covered pre-interview preparations for online interviews. As mentioned in the text, even with thorough preparation, there's always a possibility of technical issues occurring during online interviews. That's precisely why you want to prepare as much as possible. We hope this blog post will be helpful in preparing for your upcoming online interviews.
